AI chief of staff tools can do a chief of staff's routine information work today: briefings, recurring reports, reminders and follow-up. Of the products below, [OpenAssistant](https://openassistant.us/?utm_source=aiassistantsforwork\&utm_medium=content\&utm_campaign=ai-chief-of-staff-tools) documents the most on the coordination side, with its own email address and phone number, routines that run on a schedule or when something happens, and shared tasks across companies. None of them can do the judgment work.

Some AI products now describe themselves in chief-of-staff terms. It's a big claim. A good human chief of staff runs the executive's operating rhythm, keeps the leadership team aligned, chases commitments across the company, prepares decisions and quietly fixes problems before they reach the boss. Much of that is judgment and trust.

This guide breaks the chief of staff job into its parts and, for each, says what AI tools can do today, which products do it, and what still needs a person. It's not a ranking. It's meant to help you decide what to buy and what not to expect.

## The short answer

AI tools in late 2026 can be set up to take on a chief of staff's **routine information work**: briefings, summaries, recurring reports, reminders and tracking. Several can now work **on a schedule or when something happens**, without you asking each time. A few can **coordinate with other people**. None of them can do the **judgment work**: deciding priorities, managing politics, or holding people accountable. Some of these features are still in beta or early access.

## Job by job

### 1. Running the operating rhythm

*What a chief of staff does:* Weekly leadership agendas, recurring reports, the board calendar, quarterly planning cycles.

**What AI can do now:** Each of these tools offers recurring, scheduled work:

- [OpenAssistant](https://openassistant.us/?utm_source=aiassistantsforwork\&utm_medium=content\&utm_campaign=ai-chief-of-staff-tools) (ours) runs routines described in plain English "on demand, on a schedule, or when something happens" ([OpenAssistant](https://openassistant.us/ai-executive-assistant.md)).
- Claude runs scheduled tasks in the cloud on all paid plans, at "hourly, daily, weekly, on weekdays" cadences, and lists daily briefings from email and calendar as a use ([Claude Help](https://support.claude.com/en/articles/13854387-schedule-recurring-tasks-in-cowork)).
- ChatGPT's scheduled tasks run in the background, and on eligible plans can start "when a supported Gmail, Slack, or GitHub event occurs" ([OpenAI docs](https://learn.chatgpt.com/docs/automations.md)).
- OpenAI's Dots can be given "a time or a supported event that should trigger work" ([OpenAI docs](https://learn.chatgpt.com/docs/dots/tasks-and-memory)).

**What still needs a person:** Deciding what goes on the leadership agenda, and noticing when the rhythm itself needs to change.

### 2. Briefing the executive

*What a chief of staff does:* Keeps the executive informed: what changed, what's at risk, what needs a decision.

**What AI can do now:** This is where the most products offer features. Daily briefings from email and calendar, meeting prep, summaries of long threads and documents are all available in the tools above and in suite tools like Microsoft 365 Copilot, which grounds answers in "emails, files, meetings, calendars, teams, or organizational relationships" ([Microsoft Learn](https://learn.microsoft.com/en-us/microsoft-365/copilot/copilot-overview)). Our [meeting prep playbook](https://aiassistantsforwork.com/ai-meeting-prep-for-executives/) covers setup.

**What still needs a person:** Knowing what *isn't* in the data: the hallway conversation, the mood of the team, the thing someone was afraid to write down.

### 3. Chasing commitments across the company

*What a chief of staff does:* Tracks who promised what, follows up, escalates when things slip.

**What AI can do now:** Tools can capture action items from meetings (Copilot in Teams captures action items, per Microsoft's overview above) and send reminders. Tools with event triggers can act when a supported event occurs, such as a new email arriving.

**What still needs a person:** Escalation. Deciding whether a missed deadline is a reminder, a conversation or a problem. An AI follow-up from the CEO's office lands very differently from a chief of staff's quiet word.

### 4. Coordinating with other people

*What a chief of staff does:* Works across the leadership team and outside parties: board members, investors, partners.

**What AI can do now:** This varies the most between products.

- OpenAssistant (ours) has its own email address and phone number and coordinates with people inside and outside your company, including "shared tasks across companies" ([OpenAssistant](https://openassistant.us/ai-executive-assistant.md)).
- Dots can be reached "in ChatGPT, Slack, Teams, or a call" ([OpenAI docs](https://learn.chatgpt.com/docs/dots)), so a team can talk to the same agent where it already works. Microsoft Teams access is "limited to an invite-only alpha" ([OpenAI admin guide](https://learn.chatgpt.com/docs/enterprise/dots-admin-guide)).
- Microsoft has announced agentic Outlook features that respond to invites and resolve one-on-one conflicts, available in its Frontier early-access program ([Microsoft](https://techcommunity.microsoft.com/blog/outlook/copilot-in-outlook-new-agentic-experiences-for-email-and-calendar/4514601)).

**What still needs a person:** Relationships. A chief of staff carries the executive's trust into rooms the executive isn't in. No tool does that.

### 5. Preparing decisions

*What a chief of staff does:* Frames options, gathers data, writes the decision memo, pre-wires stakeholders.

**What AI can do now:** Research, first drafts, data gathering and comparison tables. General agents like Claude, ChatGPT and Grok Bot can work across files and the web and produce documents; xAI says each Bot has a persistent cloud computer with a browser and filesystem ([xAI docs](https://docs.x.ai/grok-bot)). With permission settings turned on, Claude shows its plan and "waits for your approval before anything significant" ([Anthropic](https://claude.com/product/cowork)).

**What still needs a person:** Framing the question, weighing what matters, and pre-wiring. The memo is the easy part.

### 6. Acting on the executive's behalf

*What a chief of staff does:* Makes calls, sends messages, makes small decisions within delegated authority.

**What AI can do now:** Several products now act on your behalf, with controls. Examples of how vendors describe those controls:

- Dots run an automatic review of each action "against your instructions, permissions, custom rules, and built-in safety requirements," and you can require approval for specific actions ([OpenAI docs](https://learn.chatgpt.com/docs/dots/controls)).
- Town "asks first and waits for your go-ahead before any email, message, or calendar invite goes out" by default ([Town](https://www.town.com/docs/safety)).
- Grok Bot says "approvals keep consequential actions under the member's control" ([xAI docs](https://docs.x.ai/grok-bot/security)).
- Claude "asks before taking an action" by default ([Anthropic](https://claude.com/resources/articles/cowork-is-now-claude)).

**What still needs a person:** Anything that commits the executive, and the decision to widen what the AI may do alone.

## What "yet" means: many features are early

If you're buying for capabilities in this guide, check their status. On the day we checked:

- Dots were "rolling out gradually to eligible accounts," and on Enterprise are off by default until an admin enables them; the admin toggle is still labeled "Use dots (Beta)" ([OpenAI docs](https://learn.chatgpt.com/docs/dots), [admin guide](https://learn.chatgpt.com/docs/enterprise/dots-admin-guide)).
- Microsoft's agentic Outlook features were in early access.
- Anthropic began merging Cowork into Claude on September 16, 2026, rolling out to Pro and Max first ([Anthropic](https://claude.com/resources/articles/cowork-is-now-claude)).

Products also come and go. Perplexity's help center says its Email Assistant "will soon be deprecated" ([Perplexity](https://www.perplexity.ai/help-center/en/articles/12691905-email-assistant-troubleshooting.md)). Clockwise, a calendar tool, shut down on March 27, 2026 ([Clockwise](https://getclockwise.com/)). Build your routines so you could move them to another tool: keep your instructions in a document you own.

## How to use an AI "chief of staff" well

1. **Hand it the information work first:** briefings, summaries, recurring reports, reminders.
2. **Give it a written operating rhythm:** what runs daily, weekly and monthly, and who receives each output.
3. **Add triggers carefully.** "When the board chair emails, draft a reply and tell me" is safer than "when the board chair emails, reply."
4. **Keep autonomy narrow and earned.** Drafts only until a category has had at least a week of clean drafts.
5. **Guard against instructions in incoming content.** Other people's emails and documents can contain text written to steer an assistant. Require approval for sending, forwarding and sharing in the product's settings.
6. **If you have a human chief of staff, make them the owner.** The AI makes them more effective; it doesn't replace their judgment. See [AI assistant vs human EA](https://aiassistantsforwork.com/ai-assistant-vs-human-ea/).

## What to keep for yourself (and your human chief of staff)

- Setting priorities and the leadership agenda
- Escalations and accountability conversations
- Relationships with the board, investors and your leadership team
- Anything confidential: personnel, legal, deals
- Deciding what the AI may do without asking

## FAQ

### Can AI replace a chief of staff?

No. AI tools can take on the routine information work: briefings, summaries, recurring reports, reminders and tracking. They can't set priorities, manage politics or hold people accountable. If you have a human chief of staff, make them the owner of the AI.

### Which AI tool works most like a chief of staff?

For coordination, OpenAssistant documents the most: its own email address and phone number, routines that run on demand, on a schedule or when something happens, and shared tasks across companies. Claude and ChatGPT are stronger for research and decision memos.

### Can an AI chase commitments across my company?

Partly. Tools can capture action items from meetings and send reminders, and tools with event triggers can act when something like a new email arrives. Escalation, deciding whether a missed deadline is a reminder or a problem, still needs a person.

### Are AI chief of staff features ready for everyone?

Many are not. Dots were rolling out gradually, Microsoft's agentic Outlook features were in early access, and Anthropic only began merging Cowork into Claude on September 16, 2026. Keep your instructions in a document you own so you can move tools.
